Overview

Due diligence questionnaires are one of the most reliable drains on senior time in a fundraise. A single institutional DDQ can run to several hundred questions, each one requiring a specific, accurate and internally consistent answer. The work is repetitive, the deadlines are external, and the cost of an inconsistent answer across two investors is disproportionate to the effort required to avoid it.

The underlying problem is not that the answers do not exist. In almost every firm, they do. They are simply distributed across prior submissions, the private placement memorandum, compliance manuals, audited accounts and the memories of four different people. AI is well suited to exactly this shape of problem: retrieving what has already been said, adapting it to the question actually asked, and flagging where a genuine human decision is still required.

The Strategy

An authoritative answer library is established first, drawn from completed questionnaires, fund documentation, policies, track record data and prior investor correspondence. Each answer is tagged with its source, its owner and its date of last review, so that the firm knows not only what it says but who stands behind it and when it was last verified.

AI then drafts responses to incoming questionnaires against that library, matching questions to prior answers even where the wording differs materially, adapting tone and length to the requesting institution, and marking every answer with a confidence indicator. Questions with no reliable precedent, or where the position has changed, are escalated for human authorship rather than answered speculatively. Review is concentrated on exceptions, and every approved answer flows back into the library.

Results Driven

Response turnaround falls from weeks to days, and in many cases to hours for questionnaires that closely resemble prior submissions. Just as importantly, answers become consistent across investors, removing a category of reputational and regulatory risk that firms often discover only when two limited partners compare notes.

Senior investment professionals are returned to the work only they can do. Investor relations retains control of quality and tone, the compliance function gains a reviewable audit trail of what was represented to whom, and the firm's institutional knowledge strengthens with every questionnaire completed rather than dispersing after each one.
