Controlling fund expenses through automated invoice and allocation review

We identify where AI removes cost and where it quietly adds risk.
Every engagement begins with a scoping conversation. If a smaller package is the right starting point, we will say so.
Overview
Expense allocation is a persistent source of limited partner friction and regulatory attention. The partnership agreement defines what may be borne by the fund, what must be borne by the manager, and how shared costs are apportioned across vehicles and co investors. In practice these decisions are made invoice by invoice, often quickly, by people working from an understanding of the terms rather than the terms themselves.
The consequences of getting it wrong are asymmetric. An expense incorrectly charged to the fund may be identified years later by an auditor or an investor, requiring reimbursement, explanation and a difficult conversation about what else might have been misallocated.
The Strategy
The expense provisions of each fund's governing documents are captured in structured, reviewable form, including the specific categories permitted, any caps, the treatment of broken deal costs, and the basis for allocation across vehicles. AI reads each incoming invoice, identifies the nature of the cost, determines the entities it should be borne by, and proposes an allocation with its reasoning stated.
Anything ambiguous is escalated rather than assumed. Invoices that fall between categories, exceed a threshold, relate to a deal that did not complete, or resemble costs that have previously been challenged are routed for human decision with the relevant clause and precedent attached. Approved decisions build a precedent record so that the same judgement is applied consistently thereafter.

Results Driven
Allocation becomes consistent and evidenced rather than discretionary. The finance team processes a higher volume with less effort, and the small number of genuinely difficult judgements receive proper attention because they are no longer buried in routine processing.
When an investor or regulator asks how expenses have been allocated, the answer is available with reasoning attached for every item. This is increasingly a diligence question in its own right, and being able to answer it well is a meaningful signal of operational maturity.
